Planning a destination wedding in the Cape Winelands from abroad

Updated 2 November 2026

An 18-month timeline, how to choose a town, when a planner is worth the fee, planning without visiting, guest flights and visas, where guests stay, budgets in your own currency and honeymoon add-ons.

The Cape Winelands works for a destination wedding because of three practical things. There is no meaningful jet lag from Europe, since South Africa is on the same time zone as central Europe or an hour or two ahead of the UK. The wedding season of November to April is the European winter, so your guests get a summer holiday. And your currency goes further here, so a wedding that would be modest at home can be held on a wine estate with everyone staying nearby. Stellenbosch is 30 to 45 minutes from Cape Town International Airport, Paarl 45 to 60 minutes and Franschhoek about an hour.

This guide gives you a timeline from 18 months out, a way to choose between the towns, a view on planners, the realities of planning without a site visit, guest logistics, the legal step in one paragraph, and how to think about the budget in pounds, euros or dollars.

The timeline

  1. 18 to 12 months out: pick a month (see our best time of year guide), set a guest-count range and a budget in your own currency with a ten percent margin, and shortlist two towns. Peak-season Saturdays at popular estates go 12 to 18 months ahead.
  2. 12 months out: hire a planner if you want one, confirm the venue and pay the deposit, and send guests a save-the-date with flight guidance so they can book early.
  3. 9 to 12 months out: book the photographer, marriage officer or celebrant, and band or DJ. Block-book guest accommodation and note the release date.
  4. 6 months out: decide legal-here or legal-at-home. If legal here, start on documents four months before the date so they are under six months old on the day.
  5. 3 months out: menu tasting by video or on a visit, shuttle bookings, final supplier contracts.
  6. 2 to 4 weeks out: arrive. Meet the marriage officer, walk the venue, hold a welcome dinner the night before.

Choosing a town

Stellenbosch has the most venues, the most guest accommodation and the shortest airport run of the three main towns. Franschhoek is smaller, costs more and suits couples who want guests within walking distance of restaurants and boutique hotels. Paarl and Wellington offer the same estate setting at lower venue prices and with more large-capacity options. Somerset West is closest to the airport and adds a sea view. Tulbagh is about 90 minutes out and works for a weekend-long wedding where everyone stays on or near the farm. Our Stellenbosch versus Franschhoek versus Paarl guide goes through the trade-offs in a single table.

Do you need a planner, and what one costs

A planner matters more to a destination couple than to anyone else. They view venues for you on video, sit in supplier meetings in your time zone's evening, know which estates enforce a room buy-out and which caterers work at venue-only sites, and run the day. Bridebook's 2025 figures put planner fees at R15 000 to R50 000, or 10 to 15 percent of the budget. If your venue has an in-house coordinator and your wedding is under 40 guests, a month-of or on-the-day coordinator may be enough. Above that, or if you cannot visit before the week of the wedding, a full planner is usually money well spent.

Planning without a site visit

Plenty of couples book sight unseen. One British couple featured in a UK wedding magazine saw their venue for the first time three days before the wedding. It works when you have a planner or a responsive venue coordinator, when you ask for a walk-through by video call at the time of day your ceremony will happen, and when you check the practical things on a map: distance from guest accommodation, the wet-weather room, where the sun sets relative to the ceremony spot. If you can make one trip, use it for the venue decision and the menu tasting, and let the planner handle the rest.

Guest logistics

  • Flights: Cape Town International has direct and one-stop services from Europe and the Middle East. December and early January are the busiest weeks of the year in the Cape, so tell guests to book early for those dates.
  • Visas: visitors from the UK, most of the EU and the US have entered visa-free for up to 90 days. Rules change, so point guests to the Home Affairs website rather than promising.
  • Airport to venue: Stellenbosch 30 to 45 minutes, Paarl 45 to 60, Franschhoek about 60, Wellington about 55, Somerset West around 20 to 25, Tulbagh about 90 (Bridebook and venue listings). Private transfers to Stellenbosch and Franschhoek can be pre-booked.
  • On the day: book a shuttle between guest accommodation and the estate. Drink-driving law is strict, ride-hailing is thin outside the towns after midnight, and estates have curfews around 23:00 or midnight.
  • Where guests stay: estate rooms for the wedding party, group rates at hotels and guest houses in town, cottages for guests on a budget. Ask for a block booking and a release date.

The legal step in one paragraph

Foreign couples can marry legally here through a private marriage officer, with passports, apostilled proof that you are free to marry and documents under six months old; two to four weeks' notice on arrival is enough. Or you do the legal part at home and hold a symbolic ceremony here, which removes the paperwork. Our guide to getting married in South Africa as a foreigner has the document list by country and a last-checked date; confirm the current requirements with Home Affairs.

Budgeting in pounds, euros or dollars

Work in rand first. A Winelands estate wedding for 50 to 60 guests was priced at R200 000 to R360 000 all in at 2020 rates, and 80 to 120 guests at R320 000 to R720 000; venue hire at an estate runs R90 000 to R130 000 and catering R700 to R1 200 per person for a plated meal (Bridebook 2025). Convert at today's rate, add a ten percent margin for currency movement, pay deposits early, and keep flights, your own accommodation and the honeymoon outside the wedding budget. Our Winelands wedding cost guide has full budget tables for 20, 60 and 120 guests.

Honeymoon add-ons

Most overseas couples stay on. Cape Town is 45 minutes to an hour away for a few city days; the Garden Route runs east along the coast; and safari lodges are a flight or a long drive away, which is why many planners offer Winelands-and-safari packages. If guests are making a holiday of it, Franschhoek's wine tram and the beaches near Somerset West are easy group days either side of the wedding.

Where to go next

Read the venue pages for Stellenbosch, Franschhoek and Paarl, then the elopement guide if your group is small, or the luxury and exclusive-use venues page if you want the whole estate to yourselves. Every listing on this site takes enquiries by email, so you can plan across time zones without a phone call.

Questions couples ask

Do we need a local planner?

Not always, but most overseas couples benefit. A planner views venues by video, handles suppliers in your absence and runs the day. Fees are R15 000 to R50 000 or 10 to 15 percent of budget (Bridebook 2025). For a small wedding at a venue with a good coordinator, on-the-day help may be enough.

Can we plan a Winelands wedding without visiting?

Yes. Couples do it with a planner, video walk-throughs at the right time of day and careful map work on distances. If you can make one trip, use it to choose the venue and taste the menu.

Do our guests need visas?

Visitors from the UK, most of the EU and the US have entered South Africa visa-free for up to 90 days. Rules change, so send guests to the Home Affairs website for the current position before they book.

How long should guests stay?

Three nights is the practical minimum: arrive, wedding, recover. A week lets guests add Cape Town or the coast. Give a suggested itinerary on your wedding website so people can book flights early.

What is the best month?

November to April is the dry, warm season. March and April give settled weather with fewer crowds than December and January, and are easier for guests avoiding Christmas fares. Our best time of year guide has a month-by-month table.

Is it safe for guests?

The Winelands towns are busy tourist areas and guests are generally fine with ordinary precautions: pre-booked transfers, a shuttle after the reception rather than driving, and the same street sense they would use in any city. A planner or your venue will give local advice.

How far is the venue from the airport?

Somerset West is 20 to 25 minutes, Stellenbosch 30 to 45, Paarl 45 to 60, Wellington about 55, Franschhoek about an hour and Tulbagh about 90 minutes. Cape Town city centre is 45 minutes to an hour from the main towns.
