Winelands wedding planning timeline: what to book and when, from 18 months out to the day
Updated 3 November 2026
A month-by-month checklist for a Cape Winelands wedding, with the real lead times for estates and suppliers, the seasonal traps, the documents overseas couples need and the payment milestones.
A peak-season Saturday at a well-known Winelands estate needs 12 to 18 months of lead time, and everything else in the plan follows the venue date. A weekday or winter wedding can be put together in six months, and an elopement in six weeks. This timeline is written for the long version, with notes on what to compress if you have less time, and it is specific to the Winelands: when the estates reprice, when the wind blows, when the harvest closes the cellars, and what overseas couples need to do before they fly.
Before you book anything: the three decisions
- Guest count. It sets the venue shortlist, because capacities with a dance floor are 20 to 30 percent lower than the brochure number, and it drives every per-head line. Decide the number before you visit a single estate.
- Season and day. A high-season Saturday costs 20 to 50 percent more than a weekday and R10 000 to R60 000 more than winter, and books up a year earlier. Our best time to get married in the Winelands guide goes month by month.
- Town. Stellenbosch for choice and airport access, Franschhoek for the destination weekend, Paarl, Wellington and Tulbagh for value. See Stellenbosch vs Franschhoek vs Paarl.
18 to 12 months out
- Set the budget using real figures: how much a Winelands wedding costs in 2026/27 has worked budgets for 50, 100 and 150 guests.
- Decide whether you want a planner. If yes, hire one now, before the venue, so they can steer the shortlist and negotiate. Full planning runs R15 000 to R50 000 or more; see our planners page.
- Shortlist three to five venues from the best wedding venues in the Winelands and the town pages, and send each the same brief: date options, guest count, ceremony on site or not, indoor or outdoor, catering preference.
- Visit in person if you can, in the season you will marry. Take our 12 questions for a wine estate venue.
- Book the venue. Deposits are typically 25 to 50 percent, with the balance due 30 to 60 days before. Estates reprice each September, so a contract signed in August locks in the old rate for a date eighteen months out.
- Book the photographer and videographer. The best Winelands names take one wedding a day and are booked a year ahead for peak Saturdays.
12 to 9 months out
- Send save-the-dates, with the town and the weekend. Overseas guests need this early for flights; South Africans need it for December, when the Winelands fills with holidaymakers.
- Block-book accommodation. Ask estates with rooms for a group rate, and hold 10 to 20 rooms in town on a release date. Our guest travel and accommodation guide explains how.
- Book the band or DJ. Bands have fewer available dates than DJs. See music.
- Book the marriage officer if you are marrying legally in South Africa, and start the documents if either of you is foreign: see getting married in South Africa as a foreigner.
- Choose the dress and order it; made-to-order gowns take four to eight months, and a local designer is a good option if you are flying in.
- If the venue requires an on-the-day coordinator, book one now.
9 to 6 months out
- Brief the florist with the venue, the season and a budget. Flowers run R5 000 to R60 000; see what Winelands suppliers cost.
- Book hair and makeup, and fix the trial date for about two months out.
- Decide the catering format with the venue: plated, sharing or buffet. Book the tasting.
- Settle the bar strategy. Our catering and bar costs guide prices three options for 100 guests.
- Book the cake maker and schedule a tasting at two to three months out.
- Order suits or hire them, and brief the wedding party.
- Book shuttles for the day. Two 22-seaters on a loop is standard for 100 guests spread across town.
- Overseas couples: book your own flights and accommodation now, two to four weeks before the date if you are marrying legally here.
6 to 3 months out
- Send invitations with the wedding website: travel, accommodation, dress code, the weather for the month, and the shuttle plan.
- Book décor and furniture hire: linen, ceremony chairs, lighting, lounge furniture, a stretch tent if the ceremony lawn needs one.
- Confirm the ceremony musicians and the sound for speeches.
- Overseas couples: apostilled documents must be less than six months old on the day, so time them for this window. Confirm the officer has everything.
- Plan the rest of the weekend: a welcome braai on the Friday, the Franschhoek wine tram or a vineyard brunch on the Sunday. Estates that host the whole weekend need these booked now.
- Check the venue's supplier list and send every supplier the venue's access and set-up rules.
3 months to 1 month out
- Hair and makeup trial; cake tasting; menu tasting if not done.
- Final décor and floral sign-off with quantities.
- Write the run sheet with the coordinator: ceremony time, golden hour for portraits (about 19:30 in December, 17:30 in April, 18:00 in October), dinner service, speeches, first dance, curfew.
- Confirm the wet-weather plan and who decides, and by when, on the day.
- Chase RSVPs and give the venue a provisional count.
- Pay the balances. Most venues want the final balance 30 days out and suppliers want theirs two to four weeks out.
The final two weeks
- Final numbers to the venue seven to ten days out. Every guest who drops is R1 000 to R1 500 back.
- Seating plan and place cards to the venue or coordinator.
- Supplier meals confirmed: photographer, videographer, DJ, planner and musicians all need feeding.
- Walk the venue with the coordinator and the florist if you are in the country.
- Overseas couples: meet the marriage officer in person with your passports and documents; this is also when witnesses are confirmed.
- Pack the ceremony kit: rings, the signed-off vows, the officer's paperwork, the playlist, cash for gratuities.
The day before and the day
- Set-up. Many estates include the day before from a fixed hour; others charge for it. Boschendal includes a set-up day at the Olive Press and charges R30 000 for extra days.
- Rehearsal with the officer and the wedding party, usually included with the venue.
- On the day, the coordinator holds the run sheet and the supplier contacts; the couple holds nothing.
- Overtime decisions get made at the bar before midnight, not after.
- Breakdown by the venue's deadline, typically 10:00 to 12:00 the next day, or a penalty applies.

What changes by month
| Month | Watch for |
|---|---|
| November and December | The south-easter: plan a sheltered ceremony spot. December guest accommodation fills with holidaymakers; book rooms by June. |
| February and March | Harvest. Cellars and cellar-door teams are busy, some estates limit weekday weddings, and it is the hottest time of year: shade and water at the ceremony. |
| April and May | The best weather of the year for a wedding and the start of winter rates. Easter weekend prices jump. |
| June to August | Rain on about a third of days: an indoor ceremony option is not optional. Fireplaces, winter menus and the biggest venue discounts. |
| September and October | Estates reprice in September; spring flowers are at their best; the wind returns. |
| Public holidays | Weekend rates plus extra staffing everywhere; Sunday of a long weekend is priced as a Saturday. |
If you have six months or less
Take a weekday or a winter date, or a Sunday outside the school holidays. Pick a venue with in-house catering and its own suppliers, or a tiered package that lines them up for you; see all-inclusive packages. Book the photographer the same week as the venue. Send digital invitations. Hire an on-the-day coordinator even if the venue does not require one. Everything else in this timeline compresses without harm; those four things do not.
If you have six weeks
That is an elopement or a dinner for 20 to 30, and it is entirely achievable in the Winelands. A private marriage officer can register a marriage within days once the documents are in order, estate restaurants take private tables, and photographers sell short elopement packages. Our elopement and small weddings guide has the three-day plan.
